How to Prepare Your Business for an AI Implementation

AI is not plug-and-play, despite what the marketing says. The businesses that get the most value from AI are the ones that show up prepared. Here is what preparation looks like.
1. Define the Problem, Not the Solution
Do not walk in saying you need a chatbot. Walk in saying your leads are not getting followed up within 24 hours. Describe the outcome you want, not the tool you think will deliver it. The right solution might surprise you.
2. Gather Your Data
AI runs on data. Before any engagement, pull your numbers: lead volume, conversion rates, average response time, customer churn, support ticket volume. You cannot improve what you cannot measure, and you cannot measure what you have not tracked.
3. Identify Your Constraints
Budget, timeline, technical limitations, compliance requirements. Be upfront about all of them. A good consultant designs around constraints. A bad one ignores them and delivers something you cannot use.
4. Assign an Internal Owner
AI implementations fail without an internal champion. Someone on your team needs to own the outcome, make decisions, and drive adoption. This cannot be outsourced to the consultant.
5. Plan for Adoption, Not Just Deployment
The best AI system in the world fails if nobody uses it. Think about how you will introduce it to your team, train them, and hold them accountable for using it. Culture eats technology for breakfast.
